This Privacy Policy explains what personal information ICAI Strategic AI & SEO ("ICAI," "we," or "us") collects through icai.com (the "Site") and our services, how we use it, who we share it with, and the choices you have.

2. Information we collect

2.1 Information you give us

• Free AI Visibility Audit form: your name, email address, website address, phone number, primary goal, and any message you write.
• Contact form: your name, company name, phone number, the areas you want help with, your timeline, any message, and how you found us.
• Email, phone, and meetings: whatever you choose to share with us.
• Scheduling: when you book a call through the independent scheduling service we link to, you give that service details such as your name, email address, and availability. Its own privacy policy also applies.
• Client engagements: business information, and access you authorize to your website, business profiles, listings, and similar accounts so we can do the work.

Please do not send Social Security numbers, payment card numbers, health information, or other sensitive personal information through our forms or by email. We do not collect payment card numbers through the Site forms.

2.2 Information collected automatically

Our website hosting and security systems record technical information when you visit, such as your IP address, browser type, device type, the pages you request, and the date and time. We use it to keep the Site secure and working.

As of the effective date, the Site does not use advertising cookies or third-party analytics tools. Our hosting platform may use cookies or similar technology that are necessary for security, performance, and form handling. If we add analytics or advertising tools in the future, we will update this policy and, where the law requires, ask for your consent first.

2.3 Public information about your business

When we analyze how your business appears online, we review publicly available information such as your website, business listings, reviews, and profiles. This is generally business information, and we use it only for the work you asked for.

3. How we use information

• To respond to your inquiries and schedule calls.
• To prepare and deliver AI Visibility Audits and our services.
• To communicate about projects, invoices, and updates.
• To follow up about services you asked about. You can opt out of marketing emails at any time.
• To operate, secure, and improve the Site, and to detect and block spam and abuse.
• To comply with the law and enforce our Terms of Service.

4. How we share information

We do not sell personal information. We do not share it for cross-context behavioral advertising. We share it only as follows:

• Service providers that help us run the business, such as website hosting and form handling, email and calendar, scheduling, customer relationship management, project management, automation and AI tools, and bookkeeping. They may use the information only to provide services to us.
• Professional advisors such as accountants, attorneys, and insurers.
• Authorities and other parties when the law requires it, or to protect rights, safety, and security.
• A successor, if we sell or transfer all or part of the business.
• Partners or specialists we refer you to, and only with your permission.

When you give us access to your own accounts, we act on your behalf, and the information in those accounts remains yours.

5. AI tools

We use AI tools to help deliver our services and run our business, and we review the output before we deliver it. We do not knowingly allow your personal or confidential information to be used to train public AI models.

6. How long we keep information

We keep information only as long as we need it for the purposes described here. Inquiries from people who do not become clients are generally kept no longer than 24 months. Client records are kept for the length of the engagement and the period required for tax and business records, generally seven years. After that we delete or de-identify the information.

7. Security

We use reasonable administrative, technical, and physical safeguards to protect personal information. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

8. Your choices and rights

Anyone can ask us to tell us what personal information we hold about them, correct it, or delete it, and can opt out of marketing emails by using the unsubscribe link or contacting us.

If you live in Colorado or another state with a privacy law, you may also have the right to confirm whether we process your personal data, access it, correct it, delete it, obtain a portable copy, and opt out of targeted advertising, sale of personal data, and profiling. We do not engage in targeted advertising, sale, or profiling, and we honor universal opt-out signals such as Global Privacy Control. We handle all requests the same way whether or not a particular law applies to us.

How to make a request: email marketing@icai.com with the subject "Privacy request," or call 720-507-1224. We may need to verify your identity first. We respond within 45 days. If we need more time, we may extend that once by 45 days and will tell you why.

If we decline your request, you can appeal by replying to our response and asking for an appeal. We will respond to the appeal within 45 days. If you are still not satisfied, Colorado residents may contact the Colorado Attorney General.

9. Children

The Site is for business owners and is not directed to children. We do not knowingly collect personal information from children under 13, and if we learn that we have, we will delete it.

10. Links to other sites

The Site links to other sites and services, including an independent scheduling service. We do not control them and are not responsible for their privacy practices.

11. Where information is processed

We are based in the United States and serve clients across the country. Information is processed and stored in the United States.

12. Changes to this policy

We may update this policy from time to time. The effective date at the top shows the latest version. If we make a material change, we will post a notice on the Site.
